1. FUNCTION

1.1 To provide accommodation and facilities for training and meetings for all NHS Fife health care professionals. 

1.2 To provide facilities for other health care professionals from outwith NHS Fife.

1.3 Subject to the requirements of paragraph 1.1 and 1.2 above, the facilities may be made available to other groups for other purposes.

2. LOCATION

2.1 Throughout all premises within NHS Fife.

3. RESPONSIBILITY

3.1 Within the Operational Division reception staff and Estates and Facilities staff are responsible for the provision of the room bookings.

3.2 Within CHP’s there are in excess of 288 users responsible for the provision of room bookings using paper diaries and the Meeting Point Booking System.

3.3 Facilities Officers are responsible for the monitoring of the service.

4. OPERATIONAL SYSTEM

4.1 Availability of Rooms

4.1.1 The following priority should be applied:

  1. NHS Fife business
  2. Bona fide health related groups
  3. Staff Groups
  4. Other External Groups

4.1.2 Room bookings can be made by contacting the relevant extension numbers as detailed in Appendix 1. 

4.1.3 Details regarding availability of rooms, size, visual equipment and charge, if applicable, can be made by contacting the relevant extension numbers as detailed in Appendix 1.

4.2 Hospitality

4.2.1 Hospitality can be provided in accordance with existing NHS policies.  External groups must contact the local Facilities Manager for details.

4.3 Charges

4.3.1 Health Related Groups – free of charge. 

4.3.2 Staff Groups – free of charge.  However, if a ‘for profit’ activity is being provided, such as keep fit classes, NHS Fife should reserve the right to levy an appropriate charge.

4.3.3 External Groups and Drug Companies – are subject to a fee based on the premises they are using.  Please contact the local Facilities Manager for the schedule of prices.

5. RISK MANAGEMENT

5.1 It is the responsibility of the Line Manager to ensure that this procedure is deployed within their area of responsibility.
